Terms and Conditions: Booking Your Bromo Ijen Tour
At ToursBromoIjen.com, we are dedicated to providing you with an unforgettable travel experience across East Java’s most iconic landscapes. To ensure a smooth, transparent, and enjoyable journey for all our guests, we have established the following Terms and Conditions. By booking a tour package with us, you acknowledge that you have read, understood, and agreed to these terms.
Please read these details carefully before confirming your reservation.
1. Booking and Reservation Process
How to Book
- Inquiry: Customers can submit a booking request via our website form, email, or WhatsApp.
- Availability Check: Our team will check the availability of tour packages, transportation, and hotels.
- Confirmation: Once availability is confirmed, we will send a detailed itinerary and a Proforma Invoice to the customer.
- Deposit Payment: A booking is considered CONFIRMED only upon receipt of the required deposit.
Booking Timeline
We recommend booking at least 7–14 days in advance during the regular season and 1 month in advance during peak seasons (June–August, December–January, and major holidays such as Eid al-Fitr and Christmas) to ensure availability.
2. Payment Policy
Deposit Requirement
To secure your booking, a deposit of 30% to 50% of the total tour price is required. The remaining balance must be settled before the tour departure date (typically upon pickup or before the tour commences).
Payment Methods
We accept payments via:
- Bank Transfer (Indonesian Rupiah – IDR): To our local bank accounts (BCA, Mandiri, or BNI).
- PayPal: For international transactions (note: a transaction fee of approx. 4-5% may apply).
- Wise/Remittance: Details provided upon request.
Currency
All quoted prices are in Indonesian Rupiah (IDR). If you pay in a foreign currency, exchange rates may fluctuate based on your bank’s current rate.
3. Cancellation and Refund Policy
We understand that plans can change. However, due to the nature of travel arrangements (hotel bookings, transport rentals, and entrance tickets), the following cancellation fees apply:
- Cancellation more than 14 days before departure: A full refund of the deposit, minus bank administration fees.
- Cancellation 7–14 days before departure: 50% of the total package price will be charged as a cancellation fee.
- Cancellation less than 7 days before departure: No refund will be provided. The deposit is non-refundable.
- No Show: If the customer fails to appear at the designated pickup point without prior notice, 100% of the total tour price is charged.
Note: Refunds will be processed within 5–10 business days after the cancellation request is approved.
4. Itinerary Modifications and Force Majeure
Right to Modify
ToursBromoIjen.com reserves the right to modify the itinerary due to unforeseen circumstances, including but not limited to:
- Bad weather conditions (rain, fog, storms).
- Natural disasters (volcanic eruptions, earthquakes, landslides).
- Government closures or restrictions (e.g., Mount Bromo or Ijen access is closed by the National Park authority due to increased seismic activity).
- Traffic congestion or flight delays.
In such events, we will make every effort to provide alternative activities or reschedule the tour. However, no refunds will be issued for unused services caused by Force Majeure.
Volcano Closure Protocol
Mount Bromo and Mount Ijen are active volcanoes. If the local government (BNPB or BBTNBTS) closes the hiking trails for safety reasons:
- We will offer an alternative itinerary (e.g., visiting savanna hills, waterfall, or other nearby attractions).
- If the tour cannot proceed at all, we will offer a rescheduling option valid for 6 months (subject to price adjustments for new dates).
5. Health and Safety Requirements
Physical Fitness
Tours to Mount Bromo and Mount Ijen require a moderate level of physical fitness.
- Mount Ijen: The trek involves hiking uphill for approximately 3 km in the dark. It is NOT recommended for guests with heart conditions, asthma, severe knee problems, or mobility issues.
- Respiratory Health: The sulfur fumes at Ijen can be intense. Guests with respiratory sensitivities should inform the guide and wear proper gas masks (provided).
Travel Insurance
Travel insurance is highly recommended but not mandatory. We advise guests to purchase comprehensive travel insurance covering medical emergencies, trip cancellations, and evacuation. ToursBromoIjen.com is not liable for medical expenses incurred during the trip.
6. Responsibilities and Liabilities
Tour Operator Responsibility
ToursBromoIjen.com acts as an agent for various service providers (hotels, transport companies, local guides). While we select our partners carefully, we are not liable for:
- Injuries, accidents, or loss of life during the tour.
- Loss or damage to personal belongings (luggage, cameras, passports, etc.).
- Delays caused by airlines or third-party transportation providers.
Guest Responsibility
Guests are responsible for:
- Ensuring their passport is valid for at least 6 months.
- Obtaining the correct visa for entry into Indonesia.
- Adhering to the instructions of the tour guide for safety.
- Informing the operator of any dietary restrictions or medical conditions prior to the trip.
7. Pricing and Inclusions
Price Changes
Tour prices quoted are based on current rates for transportation, entrance fees, and accommodation. We reserve the right to adjust prices if there is a significant increase in government entrance fees (ticket prices), fuel costs, or hotel rates. If a price increase is necessary, you will be notified immediately and given the option to cancel with a full refund if the increase exceeds 10%.
Inclusions & Exclusions
Please refer to your specific itinerary for detailed inclusions. Generally:
- Included: Private transport (car + driver + fuel), English-speaking guide, entrance tickets, parking fees, accommodation, and meals (as stated).
- Excluded: Personal expenses, tips, alcoholic beverages, flights, and travel insurance.
8. Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of the Republic of Indonesia. Any disputes arising from these terms will be subject to the jurisdiction of the courts in East Java, Indonesia.
